Yes. To help support the success of the Gas Machinery Conference (GMC) and fulfill our hotel commitments, sponsors and exhibitors are expected to book accommodations within GMRC’s official room block at the designated headquarters hotel for the duration of the event.
Hotel Accommodation Guidelines
By participating as a sponsor or exhibitor, we ask that you:
- Reserve accommodations at the GMC headquarters hotel using the official GMC room block link.
- Secure your hotel reservation during the registration process whenever possible.
- Release any unused rooms at least 30 days before the conference start date.
Reservation Policy
Reservations must be secured with a valid credit card. Guests may cancel or modify their reservation without penalty up to 48 hours prior to arrival. Cancellations made within 48 hours of arrival, or failure to check in as scheduled, may result in a charge equal to one night’s room rate, applicable taxes, and fees in accordance with the hotel’s cancellation policy. The credit card used to guarantee the reservation may be updated at check-in, and guests may provide an alternate form of payment for their stay.
Booking through the official GMC room block helps GMRC meet contractual obligations, avoid unnecessary financial exposure, and maintain the quality and value of the conference experience for all attendees.
Please note that reservations made at the headquarters hotel or overflow properties outside of the official GMC room block link may not count toward room block participation.
In situations where participation requirements are not met, GMRC may review sponsorship or exhibitor benefits and future event participation opportunities on a case-by-case basis.
Booking information will be provided during registration. We encourage attendees to reserve rooms early to ensure availability and support conference planning efforts.
